Most HubSpot workflows do not fail because of HubSpot. They fail because they were built quickly, one at a time, without a clear picture of how they interact. After auditing dozens of portals, we keep finding the same five patterns.
1. Workflows that depend on fragile triggers
A workflow that fires when a property “is known” or when a list membership changes looks harmless. Then someone imports a CSV, a sync updates thousands of records at once, and every contact goes through the wrong sequence. Triggers should be as specific as possible, and every workflow should have clear re-enrollment rules.
2. Several workflows editing the same property
When three workflows can set the lifecycle stage, the last one to run wins, and nobody knows which one that was. Give each critical property a single owner: one workflow, one integration or one team, never several at once.
3. No naming convention
“Copy of new lead nurture (2)” tells nobody what it does. A simple convention such as [Team] Object, Purpose, Version makes a portal readable for the next person who opens it, including you in six months.
4. Silent failures
Webhooks time out, custom code actions hit API limits and integrations disconnect. If nobody is notified, the problem is discovered weeks later in a report that does not add up. Every workflow that touches an external system needs an error branch and an internal alert.
5. Logic spread everywhere
Part of the logic lives in HubSpot, part in Make, part in a custom script on a server nobody remembers. Before adding a new automation, decide where the logic should live and document it.
How to fix a fragile portal
- List every active workflow and what it changes
- Identify overlapping triggers and conflicting property updates
- Turn off or merge what is no longer needed
- Rebuild critical workflows with clear triggers, error handling and naming
- Document the result so the whole team can safely change it later
A clean portal is not about having fewer workflows. It is about having workflows that someone else can understand, trust and change without fear. If your portal feels fragile, let’s take a look at it together.
